What's the fuss about project management July 3, 2008 comments rss

Any project manager operates four elements: expenditure, timing, duration and quality. Qualified project managers also attempt to make the organization of work more efficient. Most tasks utilize such elements as people, money, and tools to produce results and meet objectives. To work with projects successfully you should work on several factors. A few of them are listed in the next paragraph:

- Task setting and assessing progress.

- Handling risk. Most feature a this or that level of uncertainty.

- Assigning and supervising resources.

- Defining the results of the project.

- Controlling what is happening: assigning tasks, controlling execution.

- Making sure that the products of the tasks are up to standard.

- Handling instability. Change is constant. All tasks occur in time, so the element of dynamics should be accounted for.

- Communicating with project stakeholders.

To manage these components you can employ pen and paper or probably a spreadsheet program. But you get some interesting benefits if you decide to use project tracking software:

- It makes scheduling easy. A program will process scheduling calculations. Each resource can possess their own time-table. Managing work-in-progress also becomes not that much of an issue.

- Working with a number of projects and meeting a set of requirements. Project tracking software allows project executives to observea bigger picture and collect data on a number of projects.

- Critical path is easy to detect. The critical path is an important principle in project management. If a task on the critical path lasts more time than the manager planned, dates of work on other tasks will be altered. Whereas other activities that are not on the critical path might take less or more time and not change the duration of other activities in this project.

- Allowing everybody involved know what is happening. Complex projects require communication. Productivity tracking software makes dissemination of information easier than it has ever been before.

Should you every time choose task tracking software?

Like any instrument, project tracking software has its issues. The most suitable time to reap the benefits from such software is when you managea few big projects. Small projects can be supervised using a spreadsheet program which allows you to save on overhead costs of employing such complex software.
