There are four variables to professional project management: expenditure, timing, time and quality. Qualified PMs also attempt to make the organization of work better. The majority of tasks employ such recourses as labour, money, and tools to deliver results and meet objectives. You should know that there are a lot of contributing factors that are crucial for effective project management. A couple of them are listed in the next paragraph:

- Task setting and reviewing progress.

- Dealing with risk. Any project involves a lot of uncertainties that should be accounted for.

- Allocating and supervising resources.

- Understanding the product you wish to have when the project is finished.

- Controlling the project in terms of who is doing what and when.

- Ensuring that the products of the tasks are up to standard.

- Handling instability. Everything changes. When you start out on the project, you should forsee how it will develop with time.

- Communicating with sponsors and participants of the project.

Traditional methods of running projects, such a pen and paper, can be used to do most of these things. However, specialized project tracking software has a number of significant advantages:

- Task are easier to assign to time blocks. The length of work can be adjusted by the program depending on the workload information. You can create work time-tables for different resources. Managing progress also becomes less of a problem.

- Managing several projects with various prerequisites. Project management software allows project executives to observea bigger picture and aggregate information on a number of projects.

- Critical path becomes easy to detect. The critical path is a primary principle in project management. Should an activity on this path change duration, the whole project will be touched by this change. At the same time other activities that lie outside the critical path may take less or more time and not change the timing of the whole project.

- Allowing all involved be aware of what is going on. Complex projects require communication. Productivity tracking software makes dissemination of data simpler than it has ever been before.

Should you always choose task tracking software?

Like any software solution, project management software has its issues. The most suitable time to use such programs is when you managea few large projects. Little projects can be managed using a spreadsheet program which helps you save on overhead costs of handling fairy complicated software.
